PCHL/MCT Reservation Terms and Conditions
All Pro Cycling Holidays, Mallorca Cycling Tours, Mallorca Cycling Holidays trips are provided by Pro Cycling Holidays Limited, Mark Paveley (“we”, “our” or “us”) and are subject to these terms and conditions. In booking your trip you confirm that you are over the age of 18 and have read, understood and accept these terms and conditions in their entirety.
Prices
The price of our standard Package is inclusive of transfers, accommodation (for Hotels, either B&B, Half Board or All Inclusive) and a group cycling activity each day. Whilst we reserve the right to increase or decrease prices at any time, once you have booked your trip and paid your deposit, the price shown on your booking confirmation is the guaranteed price of your trip. Pro Cycling Holidays Limited reserve the right to change cycling activities based on weather and road conditions and individual abilities of the rider. Any such changes will be communicated to you as soon as possible and will be held to be of a minor nature.
Moving from a Reservation Request to a Booking
If you are a new client, we may insist on a €50 deposit before moving your reservation check/enquiry into a serious booking. This is sadly a requirement as we have suffered far too many reservation enquiries that consume a lot of time and impact other genuine enquiries that are in progress.
Deposit and Payment
To secure your booking, we require a deposit an element of which is nonrefundable. The amount of deposit will vary depending on your booking price total but is normally between 20 – 40% of the total. 100 Euros of the deposit is nonrefundable. For new clients, the balance remaining must be paid in full at least 60 days before the trip start date. Deposits and remaining balances can be paid using online bank transfers. Details of these are included in your booking confirmation.
Booking Amendments, Bike Rentals or Extras
For a single simple update such as airline flight changes out of your control or similar, there are no charges. For multiple or more complex updates (change room type, Hotel, travel dates, etc) then there will be an admin fee, starting at 20 Euros, for every new change.
The above will be rigidly enforced as during the previous few years we have suffered major impacts to our response times for enquiries or updates and completions to bookings. This is not fair to the majority of clients, who don’t do this!
If you would like us to arrange your bike rental through one of our preferred suppliers, then this can be done subject to a 25 Euro admin fee.
For some suppliers, we can obtain a discount from their advertised prices, so it may work out as a better deal for you. Where possible we try to arrange for your rental bike to be delivered or ready for you at the Hotel on arrival.
Please note that rental bikes during the peak times, Apr, May, Sep & Oct are often booked 6-12 months ahead of time, so if you leave it until 1-2 months before, you will have very little choice of the bike and possibly none at all!
Cancellations
Should you wish to cancel your booking, you must give us notice in writing, which can be using email. We can accept no responsibility for cancellation charges arising from correspondence delayed or lost in the post. Once we receive your cancellation notice we will follow up with an email confirming your cancellation. Your cancellation will take effect from the date that you receive our email confirming your cancellation. In the event that you cancel your trip, the following cancellation charges will apply (expressed as a percentage of the total trip price).
- More than 60 days prior to departure – full amount is refunded *
- Between 15 and 59 days before departure – 50% charge. You get a 50% refund *
- Between 8 and 14 days prior to departure – 75% charge. You get a 25% refund *
- 7 days or less prior to departure – 100% charge. No refund.
* Any refunds are minus the 100 Euros nonrefundable part of the deposit.
We recommend your holiday insurance includes cancellation coverage. Provided all monies have been paid we will not cancel your trip unless we are forced to do so: due to unusual and unforeseeable circumstances beyond our control which could not be avoided even with all due care having been exercised, or what is usually known as ‘force majeure’.
Complaints
If you have a complaint, please notify a member of our team. Where there is a serious complaint, write in detail via email.
Bike Hire
If you are hiring a bike, please note that you are accountable for any damage and we strongly recommend that you take the rental shops insurance. The Pinarello bike rental shop have a mandatory insurance starting at 20 Euros per bike.
Passport, Visa and Immigration Requirements
Your specific passport and visa requirements, and other immigration requirements are your responsibility and you should confirm these with the relevant Embassies and/or Consulates. We do not accept any responsibility if you cannot travel because you have not complied with any passport, visa or immigration requirements.
Privacy Policy (GDPR compliant)
Any data collected during the course of this booking will be stored securely on our computer(s). With your permission we may from time to time contact you about promotions and offers.
We will not share your details with any third party.
Declaration
I ACKNOWLEDGE THAT BY SUBMITTING THIS REGISTRATION BOOKING FORM
[emailing it back counts as submitted without the need for printing and scanning it]
I shall not hold “Pro Cycling Holidays Limited”, “Mallorca Cycling Tours”, or their representatives, responsible for my safety and conduct whilst on holiday. They also reserve the right to cancel daily activities when safety could be a risk due to adverse weather conditions.
Any excursion or cycling route or group participation in which I am involved, I acknowledge entering into “Of my own free will”.
I accept and understand that I am at all times responsible for my safety and behaviour. And at all times obey the rules of the road, including the local or destination Country Highway Code.
I especially understand that I have the same duty of care and responsibility for my actions whilst cycling and acknowledge that I must insure myself against the cost of legal actions and medical expenses arising from any eventuality for which I am legally liable, worldwide.
My travel insurance should also cover road cycling, any loss or damage to my equipment, any liability I may incur against a third party and cancellation/curtailment of the holiday/trip should I need it. Ensure you have this with you at all times or at least a photo of it and your passport. It is required by Spanish law to always have these available.
I accept that I am responsible for my own fitness/health to take part in an active holiday, and to the best of my knowledge, I have no medical or physical condition which would adversely affect my ability to participate in the cycling holiday or which would endanger my health.
Pro Cycling Holidays Limited will organise accommodation and activities. The price is inclusive with the following exceptions:-
- Flights to and from Palma, Mallorca
- Bike hire (unless you requested this)
- Participant insurance (as stated above)
- Spending money and lunches
- Drinks with meals.
- Any local charges for hotel services such as laundry, telephone calls etc.
I hereby agree that except in respect of death or personal injury caused by negligence of Pro Cycling Holidays Limited, neither Pro Cycling Holidays Limited nor its employees or agents will have any liability (whether in contract or tort including negligence) for any loss, damage, injury or death I may suffer in connection with any holiday/trip organised by Pro Cycling Holidays Limited.
Furthermore, Pro Cycling Holidays Limited is not responsible for any failure by me to take out the appropriate insurance.
I agree that the contract between Pro Cycling Holidays Limited and me will be governed by English law and that any matter or dispute in connection with this contract will be subject to the exclusive jurisdiction of the English courts.
